Today we share the story of Fabiola Perez, Budget Manager at Workout Events, who at 26 years old is an inspiring model of perseverance and determination. From her beginnings in Barquisimeto (Venezuela) to her exciting journey to Spain, Fabiola has built her path overcoming obstacles and embracing change as an opportunity for professional growth.

At the age of 19, she completed a degree in Human Resources in her birth country and got her first job in a telecommunications company. There, besides participating in the company’s selection processes, she proved her skills in the administrative area.

But life had other plans for her and, in order to seek better opportunities, Fabiola quit and embarked on a journey to Spain. Upon arrival, she was making budgets for a construction company, but the company went brankrupt.

Then, she found the risk and uncertainty overwhelming so she decided to give herserlf a last chance: if she didn’t find a job in Madrid in the next 7 days, she was determined to move to the United States. She had several friends there, but when she was about to buy the flight tickets, Workout Events knocked on her door.

Since then, Fabiola has linked her story to this company, where she has grown professionally and personally for more than a year and a half.

First of all, what does the Budget department of an event staffing company do?

As its name suggests, the department is in charge of providing solutions to Workout’s clients’ requests and providing the rates for each service. We are the first contact of the client with the company and, therefore, we have the great responsibility to serve them in an exceptional way and understand their needs. We offer always a tailor-made budget.

How do clients make requests at Workout Events?

In many ways! Customers can send us their emails to presupuestos@workout-events.com, call us directly by phone, contact our sales representatives, write their request through the website…

What factors do you take into account when you are making a budget?

We work with a price list that includes the most requested professional profiles. We also take into account other parameters such as the event’s location, the per diem of our employees, if we have staff available to attend the event…

Besides the price list, do you use any other document in your daily work?

The service dossiers so that customers can see all the professional profiles we offer, presentations of rental materials and fleet of vehicles, the first collaboration contracts for new customers…

And what are the steps to follow when you receive a request for a quotation?

The process is as follows:

  1. We receive the customer’s request.
  2. In less than 24 hours, we contact him/her to know in detail the tasks to be performed by the personnel requested. We need that information for quotation the appropriate professional profile.
  3. We advise the client and, whenever the event requires it, we offer other profiles that he or she could need. For example, the client may ask us for personnel to set up the stand of a brand and not know that in Workout we also have promoters to provide information to the stand visitors.
  4. We issue a quotation taking into account all the conditioning factors.
  5. The customer approves the quotation. At that moment, we talk to our partners in the Operational area (Assembly, Image, Security…) because they are in charge of managing the workers who will attend the service.
  6. The event is carried out and, if during the event the client needs to make any staffing modification such as adding another professional profile, he or she contacts us again and we will quote it.
  7. Once the event is over, the Billing department is in charge of sending the invoice to the client.

How long can it take for a customer to approve a budget?

It depends… Sometimes the customer responds on the same day and sometimes it takes some time to validate it. In any case, in our department we follow up all the budgets we issue in order to offer an agile and quality service.

Now tell us about yourself, what challenges do you find working at Workout?

We are committed to providing impeccable commercial support to all our customers and, due to the high number of requests we handle day-to-day, this can be a real challenge sometimes. In fact, work forces me to be organized and to keep my email management very up to date.

What do you like most about working here?

I am very excited to see how my department has evolved since I joined Workout until now. At the beginning, there was only Lucía López in the Budget department and, today, there are three people. Knowing that the department is growing with the company and that, in some way, I am contributing to do it, makes me very proud.

Do you remember any funny anecdote you have lived at Workout Events?

My colleagues always remind me that I’m a bit absent-minded. For instance, on my second day at work I reintroduced myself to my boss, with two kisses!! In my defense, I will say that I didn’t recognize her because she was wearing a face mask…

And finally, what’s the word that most identifies you?

Commitment. Whenever I set my mind to something, I fight for it. Something like this happened to me when I set out to find a job in Spain and then Workout appeared. Now I’m working in what I love, I have to give the best of me.
